My Favorite AI Tools

AI for entrepreneurs, designers, and everyone in between!




AI has become a rapidly evolving landscape of tools, strategies, buzzwords, and apps. It is simultaneously an overwhelming mountain with no summit and an exciting new frontier we all get to explore together (too dorky? or just enough?). I love AI for its potential to simplify processes and amplify productivity, making all of us more agile and adaptive in a heartbeat. I like to approach AI tools from a day-to-day perspective. How can I replace something in my everyday workflow with AI in order to make my life/job/work a little bit easier? How can I streamline my workflows and improve my decision-making or be a little bit more productive (with a little bit less effort)?


Artificial Intelligence (AI) refers to the capability of a machine to imitate intelligent human behavior. Generative AI, a subset of AI, refers to algorithms designed to create content—be it text, images, or even code—from existing data. Generative AI is the flavor of AI that has risen in popularity in the last year with tools like chatGPT, that create outputs as a result of specific inputs. Tools built on generative AI can dramatically reduce the time and effort required to perform tasks, offering creative solutions that previously would have required human input. My approach to integrating AI involves selecting tools that not only offer significant improvements over traditional methods but do so in a way that meshes seamlessly with existing business processes.


Below, I have curated a list of AI tools that I recommend for any entrepreneur eager to tap into the benefits of AI! Each tool has been chosen based on its effectiveness, ease of use, and ability to integrate into daily business operations.

These are great tools for entrepreneurs in particular, but most of them work well for anyone interested in integrating AI into their day-to-day life or career!


ChatGPT
  • Primary Use: Conversational AI and content generation.

  • Description: ChatGPT can generate dialogue, answer questions, summarize content, and more. I recommend starting with ChatGPT to get accustomed to working with AI in various aspects of business.

  • Plug-Ins: GPT4.0 (the paid version) includes the use of various additional GPTs, trained on specific information, a few of which I particularly love and recommend! Those include:

    • DALL-E, for generating images

    • Web Browser, for fetching real-time information from the web

    • Data Analyst, for... well... analyzing data


Loom
  •  Primary Use: Video messaging, specifically with a screen recording component.

  • Cost: Free with basic features; business plans start at $8 per user per month.

  • Description: Loom allows you to record and share video messages, making it easier to communicate complex ideas or provide personal updates to your team. It's perfect for remote teams, offering a more personal touch than traditional emails or text updates.


Calendly
  • Primary Use: Auto-scheduling and calendar management.

  • Cost: Offers a free basic plan; premium plans start at $8 per user per month.

  • Description: Calendly streamlines the scheduling process by allowing clients to choose from available times based on your preferences, eliminating the back-and-forth often associated with booking meetings. It integrates with Google, Outlook, and other calendar services, ensuring no double bookings. I recommend it for its user-friendly interface and robust integration capabilities.


Notion
  • Primary Use: Notetaking, project management, and organization.

  • Cost: Free for personal use; team plans start at $8 per user per month.

  • Description: Notion serves as an all-in-one workspace where teams can plan, collaborate, and keep track of their work. Its customizable templates and intuitive drag-and-drop interface make it excellent for managing projects, documents, and tasks. I suggest using Notion to centralize business operations and enhance team collaboration.


Grammarly
  • Primary Use: Automated grammar checking, proofreading, and writing enhancements.

  • Cost: Free version available; premium versions start at $12 per month.

  • Description: Grammarly uses advanced AI algorithms to correct grammar, spelling, and punctuation errors in real time, and offers style and tone suggestions. This tool is indispensable for maintaining professionalism in all written communication and is especially useful for content creators.


Fireflies
  • Primary Use: AI-powered meeting assistant.

  • Primary Use: Email management.

Zapier

• Primary Use: Workflow automation across multiple apps.

• Cost: Free for basic plan; paid plans start at $19.99 per month.

• Description: Zapier automates repetitive tasks by connecting over 3,000 web apps, such as Gmail, Slack, and Mailchimp, without requiring coding skills. It’s ideal for streamlining workflows and improving productivity.


Asana

• Primary Use: Project and task management.

• Cost: Free for basic features; premium plans start at $10.99 per user per month.

• Description: Asana uses AI to predict project timelines and resource management needs, helping teams stay organized and on track with their projects.

AI should be employed responsibly, ensuring it does not perpetuate biases or infringe on privacy. AI should not be used as a replacement for human empathy or decision-making where moral judgments are required. It is also important to be conscious of the data you share and store within AI tools, and to understand the security measures associated with each tool you use.
